Privacy Policy

This Privacy Policy describes how the Ron Many Personal Assistant (the “Assistant”) accesses, uses, stores, and shares information, including Google user data. The Assistant is a private, single-user application operated by Ron Many for his own personal productivity. It is not offered to the public, it has no other users, and it is not distributed or made available to third parties.

1. Google user data the Assistant accesses

When the account owner grants access through Google’s OAuth 2.0 consent screen, the Assistant may access the following data in the owner’s own Google Account:

  • Gmail — reading messages and labels, and sending or replying to email when the owner explicitly instructs it to.
  • Google Calendar — reading, creating, updating, and deleting calendar events on the owner’s calendar.
  • Google Drive — creating folders, uploading files, and managing sharing permissions on files and folders owned by the owner.
  • Google Docs and Sheets — creating, reading, and updating documents and spreadsheets.
  • Contacts — read-only access to the owner’s contacts.

2. How the data is used

Google user data is used solely to provide the Assistant’s features to its owner. In practice that means: triaging and summarising incoming email, drafting and sending replies when instructed, creating and updating calendar entries, storing documents in the owner’s Drive, and maintaining personal records the owner asks the Assistant to keep. The data is not used for any other purpose.

3. Storage and retention

OAuth credentials and any content the Assistant caches are stored locally on the owner’s own computer, under the owner’s control. The Assistant does not maintain a cloud database of Google user data. Data is retained only for as long as it is needed to provide the features described above, and the owner can delete it at any time.

4. Sharing and disclosure

The Assistant does not and will not:

  • sell, rent, or trade Google user data;
  • transfer Google user data to third parties, except as necessary to provide or improve the Assistant’s features, to comply with applicable law, or as part of a merger or acquisition;
  • use Google user data for advertising, marketing, or profiling purposes;
  • use Google user data to determine creditworthiness or for lending purposes;
  • allow humans to read Google user data, except where the owner has given explicit consent, where it is necessary for security purposes such as investigating abuse, to comply with applicable law, or for the Assistant’s internal operations.

Automated processing: to produce summaries, drafts, or analysis, message and document content may be transmitted to a third-party large-language-model API provider for processing. That processing is governed by the provider’s API terms and is not used by the provider to train its models.

5. Limited Use

The Assistant’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. Security

Access is granted through Google’s OAuth 2.0 protocol. Authorization tokens are stored on the owner’s own machine with restricted file permissions and are never published or shared. Access can be revoked at any time at myaccount.google.com/permissions.

7. Children’s privacy

The Assistant is not directed at children and does not knowingly collect information from anyone under the age of 13.

8. Changes to this policy

Any changes to this Privacy Policy will be published on this page together with an updated revision date.
